Create an income trail
Collect client statements, platform reports, invoices and bank deposits for one year at a time. Note when a deposit represents a transfer, loan or customer payment so it is not counted twice in your working summary. Keep the supporting record next to the explanation. Missing an information statement does not establish that the earnings are irrelevant. Ask a preparer how to reconcile the complete activity with the applicable return.
Build an evidence index for expenses
Group records by purpose, including supplies, professional costs and other business activity. Label mixed personal and business items for review instead of treating the entire payment as deductible. The IRS says records should support income and expense entries; it does not require one universal bookkeeping system. A consistent folder or ledger can be useful if amounts lead back to documents and unclear entries remain visibly unresolved.
Connect the records to the tax account
Add filed returns, notices, estimated-payment confirmations and any existing agreement to the same year-based packet. List whether each year needs preparation, correction or only account reconciliation. Ask what work must be completed before a resolution can be evaluated. If you seek a referral, explain the record gaps at the first conversation so a provider's quote reflects the real workload rather than an assumed stack of completed returns.

Questions people ask
Can I estimate every missing expense?
Do not invent entries to complete a worksheet. Document what is available and ask a qualified preparer what evidence and rules apply to the missing records.
Is bookkeeping the same as resolving a tax balance?
No. Reconstructing records can support accurate returns and account review. A payment, settlement or dispute process is a separate task with its own requirements.
